Google Sheets automatically saves every change, ensuring you never lose your work. More importantly, it provides tools to revisit past versions and track edits. This feature is invaluable when collaborating or correcting errors. This post explores how to use Version History, name specific versions, and track edits in individual cells.
Version history

This is where all the changes to the file are stored. To access Version History, click the clock icon in the top-right corner or go to File > Version history > See version history. A side panel will appear, showing the sheet with highlighted changes and a list of revisions on the right. Each version indicates when and by whom changes were made, with different colours representing different users.
To restore a version, select it and click Restore this version. This action doesn’t delete other versions—you can always go back later.

If you’ve made frequent changes, expand detailed revisions by clicking the triangle beside a grouped version. You’ll see individual changes with highlighted updates, helping pinpoint specific edits.
Naming versions
Google Sheets allows you to name important versions for easy identification.

To name a version:
1. Click the three-dot menu next to a version.
2. Select Name this version or click the date and time.
3. Type a name and save.
You can also name the current version by navigating to File > Version history > Name current version.
Named versions appear under the Named versions filter, simplifying long histories. You can rename or remove a version’s name later or make a copy to experiment with specific data.

Cell edit history
For quick edits, you may only need to review changes to a specific cell.

Right-click the cell and select Show edit history. A dialogue box displays all changes to the cell, who made them, and when. Use the arrows to navigate through the history and review previous values.
This feature is ideal for tracking individual data points without sifting through the entire sheet’s history.
Version History and cell edit history are powerful tools in Google Sheets, making it easier to track changes, collaborate effectively, and manage your data confidently. Use these features to stay organised and save time while working with your sheets.
