How to use Notes & Comments in Google Sheets


In Google Sheets, two powerful tools let you add extra information to your sheet without disrupting its layout: Notes and Comments. While they seem similar, their purposes differ – Notes provide simple annotations, whereas Comments facilitate collaboration. This guide walks you through using both effectively.

How to use Notes in Google Sheets

Notes are great for adding quick reminders or details about a cell. Here’s how to use them:

Adding a note

Right-click the cell, select Insert note, and type your text. Once added, a small black triangle will appear in the top-right corner of the cell.

Viewing and editing notes

Hover over the cell to view the note. To edit, click inside the text box and modify the content.

Deleting notes

Right-click the cell with the note, then choose Delete notes to remove it.

How to use Comments in Google Sheets

Comments are ideal for collaboration, allowing you to ask questions or assign tasks.

Adding comments

Right-click the cell, select Comment, type your text, and click Comment. A yellow triangle in the cell corner signals a comment. You’ll also see a number appear in the sheet tab showing the number of comments. Plus, hovering over the tab will tell you where the comments are.

Viewing and replying to comments

Hover over the cell to view the comment. Click the text box to reply, then type your response and hit Reply.

Resolving comments

Once addressed, hover over the comment and click the tick button to mark it as resolved.

Editing and deleting comments

Access the comment, click the three dots, and choose either Edit or Delete.

Advanced Comment Features

Assigning actions

Use @ mention to assign comments to a specific person. Check the Assign to… box to create a task for them.

Managing comments via the sidebar

Click the Comments icon at the top of the screen to view, filter, or search all comments in the document.

Link to a specific comment

You can get a link to a specific comment by clicking on the 3-dot menu in the comment and selecting Get link to this comment.

Copying comments

When copying a sheet, tick the Copy comments option to include existing comments in the new file.

Use Notes for straightforward annotations and Comments for collaborative tasks or feedback. Mastering these features will enhance your productivity and teamwork in Google Sheets.
